Administrative Support Specialist

The role of Administrative Support Specialist is a dynamic and challenging position that requires energy, passion, and exceptional organizational skills. As the primary interface for the team, you will cultivate collaborative relationships and provide an exceptional level of service to internal and external stakeholders.

  • Provide dedicated administrative support and diary management to senior staff members on-site and virtually.
  • Organize meetings and events both internally and externally, ensuring seamless logistics and timely communication.
  • Offer recruitment administrative support and assist with employee onboarding and exiting processes.
  • Maintain the CRM database and run reports as required, providing valuable insights for business growth.
  • Manage confidential information and work autonomously, exercising strong professional judgment.
  • Coordinate domestic and international travel arrangements, ensuring compliance with company policies.
Key Responsibilities:
  • Diary management and scheduling of appointments and meetings.
  • Providing administrative support for business development initiatives and engagements.
  • Maintaining accurate records and data entry into the CRM system.
  • Coordinating team training and adoption of new technologies.

The ideal candidate will possess a combination of the following skills and experience:

  • 4+ years of experience in an administrative or executive assistant role.
  • Exceptional written and oral communication skills, with the ability to liaise at executive levels.
  • Strong understanding of stakeholder priorities to aid in effective diary and meeting management.
  • A strong sense of accountability, proactivity, and commitment to delivering quality outcomes.
  • Outstanding organizational skills, with the ability to prioritize competing demands and manage multiple deadlines.
  • Intermediate to high-level skills in Microsoft Outlook, Word, and PowerPoint, with other technical skills considered favorably.
