We are seeking a highly skilled and detail-oriented individual to join our team as a Cotton Purchasing Administration Officer. This role is critical in supporting the administrative functions of our cotton business, ensuring the smooth running and efficiency of our operations.
Main Responsibilities:
- Verify the accuracy of all paperwork received from origination staff to maintain high levels of quality and integrity.
- Ensure special contract conditions are met, including discounts for later delivery and correct delivery points, to optimize our purchasing processes.
- Validate and enter data with high accuracy to support informed decision-making.
- Enter Bale Purchase Forms and Amendments for purchase contracts in a timely and efficient manner.
- Ensure correct payment terms are on the contract to prevent any delays or disputes.
- Assist the Accounts team with queries regarding payments to provide excellent customer service.
- Report daily purchases and contract adjustments and circulate to keep stakeholders informed.
- Manage end-of-month purchase adjustments to ensure accurate financial records.
- Create and amend client accounts in relevant systems in a timely manner to maintain up-to-date information.
- Oversee the Grower Survey process to gather valuable insights and feedback.
- Conduct daily, weekly, and monthly reconciliation and reporting of contracts to identify trends and areas for improvement.
Requirements:
- Strong knowledge of Microsoft suite to effectively utilize its tools and features.
- A high level of attention to detail to maintain accuracy and precision.
- Good organizational skills to manage multiple tasks and priorities efficiently.
- Ability to communicate effectively with all staff and clients to build strong relationships and resolve issues promptly.
- Ability to work well under pressure to meet deadlines and deliver results.
Desirable Skills:
- Knowledge of and previous experience in the cotton industry to bring valuable expertise and insight.
- Sound understanding of gin/valley delivery points to optimize our logistics and supply chain.
