Cotton Administration and Purchasing Officer

The role plays a vital part in the efficient functioning of our business by supporting administrative duties related to cotton purchasing.

Key Responsibilities:
  • Verify the accuracy of all paperwork received from origination staff members.
  • Ensure that special contract conditions are met, such as discounts for later delivery and correct delivery points.
  • Accurately validate and enter data with a high level of precision.
  • Enter Bale Purchase Forms and Amendments for purchase contracts, maintaining timely updates.
  • Confirm the correct payment terms are on each contract.
  • Collaborate with the Accounts team to resolve payment-related queries.
  • Report daily purchases and contract adjustments, ensuring prompt circulation.
  • Perform end-of-month purchase adjustments.
  • Manage client account creation and amendments within relevant systems in a timely manner.
  • Coordinate the Grower Survey process.
  • Conduct daily, weekly, and monthly reconciliations and reporting for contracts.
Requirements:
  • Strong knowledge of Microsoft suite applications.
  • High attention to detail.
  • Effective organizational skills.
  • Excellent communication skills to interact with all staff and clients.
  • Ability to work well under pressure.
Desired Skills:
  • Knowledge of and prior experience in the cotton industry.
  • Sound understanding of gin/valley delivery points.
