**Executive Assistant Role**

\

As a key member of our team, you will provide senior support to our senior Insurance Partner, ensuring their practice runs smoothly and efficiently.

Your responsibilities will include:

  • \
  • Providing executive level one on one support with a Senior Partner\
  • Managing competing priorities and providing consistently high levels of support\
  • Preparing, coordinating and reviewing high-level communication, including correspondence and advices\
  • Attending to client and matter queries, and managing the process of opening new clients and matters\
  • Capturing and recording fee earner business development activities\
  • Liaising with internal and external clients, assisting with queries and directing as appropriate\
  • Assisting lawyers with various paralegal tasks, including drafting of Court documents and attending to Court e-filing\
  • Processing third-party invoices and disbursements, and compiling and preparing fee earner expenses\
  • Maintaining and updating client contact lists and entering fee earner business development activities in the firm's client contact database\
  • Providing assistance with the preparation of client reports\
  • Supporting the team with ad-hoc duties as required\
  • Developing excellent working relationships with external and internal clients\
  • Ability to work autonomously and as part of a team environment\
  • Flexibility to adapt to changing priorities and deadlines\
  • A positive attitude to work, and an adaptable and collaborative approach\
  • Ability to perform to a high standard in a large volume Insurance practice\
  • Strong legal support background, forward thinking approach and initiative\
  • Superior attention to detail, high level of professionalism and service excellence\
  • Clear and concise communication, ability to maintain confidentiality and act with discretion\
  • Experience with Elite 3E and iManage will be highly regarded\
  • Ability to develop excellent working relationships with external/ internal clients\
  • All other ad hoc duties as required\
  • Client and matter: Attending to client and matter queries, and managing the process of opening new clients and matters through to closure of a matter\
  • Finance: Processing third-party invoices and disbursements, compiling and preparing fee earner expenses, timesheet management using the firm's time management system, Intapp Time, and providing assistance with the preparation of client reports\
  • Business Development: Maintaining and updating client contact lists, entering fee earner business development activities in the firm's client contact database, InterAction, and providing assistance with the preparation of client reports\
  • Essential skills and experience: Legal admin or professional services experience, superior attention to detail, high level of professionalism and service excellence, flexibility to work autonomously and as part of a team environment, experience with Elite 3E and iManage will be highly regarded, positive attitude to work, adaptable and collaborative approach, ability to perform to a high standard in a large volume Insurance practice, strong legal support background, forward thinking approach and initiative\
