Position Overview

Become an integral part of a dedicated team, delivering high-level administrative and coordination support to our Community Operations division and a broader group of internal stakeholders.

Role Summary

This is a permanent, full-time position where you will excel in a dynamic and multifaceted administrative role, taking charge of managing and coordinating all community business operations in accordance with relevant agreements, guidelines, policies, and procedures.

  • Oversee the Community Operations team's inbox on a daily basis, ensuring timely distribution and actioning of incoming emails.
  • Support compliance with State-based Manufactured Homes Legislation, Site Agreements, MasterPlan Guidelines, Community Living Guidelines, and other relevant legislative frameworks, alongside Stockland's policies and procedures.
  • Maintain up-to-date documentation for all Licences and Permits, such as Food Business Licences and Restricted Liquor Permits.
  • Assist in organizing training sessions for Community Teams related to compliance requirements.
  • Provide administrative assistance concerning community-related dispute matters as needed.
  • Support all administrative tasks associated with the issuance of annual Site Rent Increase Notices and other billing processes.
  • Help collect and file Water Meter Readings information and new settlement data as required.
  • Assist in the preparation of purchase orders and manage invoice processing.
  • Offer ad hoc administrative support to the Community Operations team as necessary.

Candidate Profile

A background in administration within property management, leasing, real estate, or financial management is advantageous, though we are open to candidates from other sectors.

  • Demonstrated experience in a support role, showcasing strong administrative and coordination capabilities.
  • Familiarity with raising purchase orders and managing invoices.
  • Ability to multitask and operate efficiently to achieve desired outcomes.
  • Strong collaboration and teamwork skills.
  • Excellent verbal and written communication abilities.
  • Highly organized with effective time management and meticulous attention to detail.
  • Willingness to learn and develop additional skills.
  • Proficient in the MS Office Suite (Outlook, Word, and Excel); Salesforce experience is a plus, but training will be provided.
  • Experience in interpreting legislative documents such as Acts, Regulations, and Contracts is preferable, as is knowledge of the Land Lease Communities sector, though not essential.
