Mirvac is a leading Australian property group dedicated to reimagining urban life. As the Senior Lease Administration Manager, you will play a critical role in ensuring the efficient and professional delivery of final form leases and documentation across Commercial Property.

Key Responsibilities:

  • Oversee the coordinated activities of Lease Administrators in preparing HOA documentation, execution, and safekeeping processes.
  • Partner with the National Lease Administration Manager to deliver Commercial Property Lease Administration Division goals, minimizing time and efficiency between instruction and execution of documentation.
  • Manage relationships with key internal stakeholders (Legal, Leasing, Real Estate Operations) and external stakeholders.
  • Mentor Lease Administrators in ensuring efficient and controlled processes surrounding preparation of documentation, execution, and safekeeping.
  • Execute Lease Administration Management Responsibilities:
    • Review signed Heads of Agreement (HOA) and counter offers to ensure comprehensiveness, consistency, and accuracy.
    • Accurately and efficiently prepare the Lease Approval Form (LAF) with terms of the retailer's offer fully documented and in accordance with Mirvac's policies and procedures.
    • Manage relationships and instruction processes with external lawyers, responding to queries.
    • Review Disclosure Statements to ensure they incorporate all terms and conditions in the approved LAF, with timely issuance to retailers.
    • Collaborate with Retail Leasing Executives, asset teams, Tenancy Coordination Managers, and Retail Design Managers to respond to retailer amendments and queries.
    • Undertake due diligence of leases of affected retailers at assets undergoing refurbishment works and prepare and coordinate notices where required.
    • Work with Asset Management and Tenancy Coordination teams to ensure lease and ancillary documents are received prior to the retailer's commencement of trade.
    • Drive improvements and maximize efficiency of Lease Administration processes and reporting.
    • Assist with general lease enquiries from retailers/operators, asset teams, and Retail Leasing Executives.

Requirements:

  • 5-8 years of previous lease/property/legal administration experience.
  • High level of operational, lease, and contract management skills and strong negotiation skills.
  • Proactive and self-motivated approach with the ability to solve problems and resolve issues as they arise.
  • Can-do attitude and ability to work independently or as part of a team productively and efficiently.
  • Strong ability to multi-task and think outside the box.
  • Exceptional administration, time management, and organization skills.
  • High attention to detail.
  • Commitment to quality, professionalism, and confidentiality in all tasks.
