Job Title: Project Administrator

We are seeking a highly organised and proactive individual to join our Mining & Minerals North West team as a Project Administrator.

This is a permanent opportunity on an 8:6 roster based in Karratha, requiring you to be passionate about customer service, take pride in your organisational skills and foster communication between site teams and the rostering team.

About the Role:

  • Plan mobilisations and demobilisations of project personnel, ensuring seamless transitions and minimal disruptions.
  • Liaise with clients and company stakeholders to ensure all personnel are compliant for site, fostering strong relationships and open communication.
  • Manage and maintain documentation, including timesheets, procurement and HSE files, to ensure accurate records and compliance.
  • Uphold communication between Perth and site-based offices, facilitating effective collaboration and information sharing.
  • Act as point of contact for high volume of personnel, providing exceptional customer service and support.

Key Responsibilities:

  • Mobilise and demobilise project personnel, ensuring timely and efficient movements.
  • Coordinate with clients and company stakeholders to ensure all necessary documentation is completed and submitted.
  • Develop and implement processes to improve documentation management and reduce administrative burdens.
  • Foster strong relationships with site teams and rostering teams to ensure effective communication and collaboration.
  • Provide exceptional customer service to high volume of personnel, responding promptly to queries and concerns.

Requirements:

  • 1 year experience in mobilisation or rostering within resources sector, demonstrating a strong understanding of industry practices and procedures.
  • Experience with ERMS, CMS, Success Factor, Pegasus, AMEX and Workflow advantageous, but not essential.
  • Excellent time management skills and flexibility to adapt to changing priorities, ensuring projects are delivered on time and within budget.
  • Advanced computer literacy, particularly Microsoft Office suite, with ability to learn new software and systems quickly.
  • Ability to work under pressure to meet project deadlines, remaining calm and composed in fast-paced environments.
