Role Overview

The Contractor & Administration Coordinator reports to the Director of Property Services and provides high-level, efficient, and professional administrative and contractor support to the team. This role ensures business requirements and customer expectations are met.

Key Responsibilities
  • Provide high-level administrative contractor and team support.
  • Manage contractor onboarding and offboarding tasks.
  • Initiate purchase requisitions and process all financial documentation for accounting records.
  • Address and resolve contractor queries, redirecting them to appropriate owners when necessary.
  • Oversee iTrack pre-registrations.
  • Manage team licenses and assist with required renewals.
  • Maintain the integrity of documents, including sensitive information updates.
  • Proactively offer assistance as required from team members or supervisors.
  • Handle diary and correspondence management, as well as advanced administration tasks as needed by the Property Services team.
  • Ensure compliance at all times with legislative requirements, company policies, and the company Code of Conduct.
Requirements
  • Experience in processing financial transactions, including paying invoices, managing purchase orders, and settling accounts.
  • A solid understanding and knowledge of contractor management.
  • Proven ability to support multiple stakeholders effectively.
  • Superb time management skills.
  • Excellent communication skills and attention to detail with a high level of accuracy.
  • A strong commitment to confidentiality and delivering exceptional service levels.
  • Exposure to the building industry would be advantageous.
  • Experience working with Workday is advantageous.
  • Intermediate proficiency in Microsoft Office suite.
  • Previous experience in an administrative or coordinator role is desirable.
