Job Overview

This role provides administrative support to the facilities manager ensuring timely and accurate documentation and reporting.

Key Responsibilities
  • Manage maintenance schedules and coordinate reactive works with contractors and service providers.
  • Maintain up-to-date records of building documentation compliance certificates and contractor information.
  • Assist with the preparation of emergency response plans and safety documentation.
  • Monitor contractor performance and ensure adherence to service agreements.
  • Liaise with tenants suppliers and internal stakeholders to address enquiries and coordinate services.
  • Support procurement processes including raising purchase orders tracking invoices and assisting with budget preparation.
  • Help coordinate inspections audits and compliance activities in line with local regulations.
Qualifications and Strengths
  • Previous experience in an administrative or coordination role ideally within facilities property or retail.
  • Knowledge of building operations or safety compliance advantageous but not essential.
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Word Excel Outlook PowerPoint.
  • Ability to manage multiple priorities and meet deadlines.
  • A proactive flexible and team-oriented approach.
