
Studio Operations Manager

The Studio Support Lead is a pivotal position in ensuring the seamless operation of our studio. This role encompasses managing administrative tasks, studio upkeep, and staff services to create a well-organised and welcoming workspace that fosters productivity and enhances employee experience.
This key position plays a crucial role in maintaining office facilities, handling service requests, scheduling maintenance, and coordinating vendors. It also involves procuring, setting up, and repairing office furniture as needed.
Another critical aspect of this role is reception coordination. Supervising reception activities ensures a welcoming environment with efficient handling of incoming calls and deliveries. Coordinating shifts and managing schedules for reception staff are also essential duties.
In addition, the Studio Support Lead is responsible for managing food and beverage supplies, ensuring their availability for employees and guests. Procurement and replenishment of these supplies are crucial in maintaining a comfortable and productive work environment.
The position also involves overseeing security access card issuance and management for employees, ensuring secure access to office premises. Maintaining records of active and inactive security cards is vital.
Key Responsibilities- Travel Bookings: Coordinate travel arrangements for employees, including flights, accommodations, and transportation. Assist with visa applications and ensure compliance with travel policies.
- Office Maintenance: Oversee office facilities maintenance, including service requests, scheduling maintenance, coordinating vendors. Manage office furniture needs, procurement, setup, and repairs.
- Reception Coordination: Supervise reception activities for a welcoming environment, efficient handling of incoming calls and deliveries. Coordinate shifts and manage schedules for reception staff.
- Food and Beverage Supplies: Manage procurement and replenishment of office food and beverage supplies, ensuring availability for employees and guests.
- Security Card Management: Oversee issuance and management of security access cards for employees, ensuring secure access to office premises. Maintain records of active and inactive security cards.
- Shift Coordination: Plan and coordinate shift schedules for relevant office support staff, ensuring coverage during business hours. Liaison with Building Management.
- Onboarding Coordination: Facilitate new employee onboarding, including office tours, presentations, workstation setup, welcome kits, and introductory meetings with key staff members.
- Office Health and Safety: Implement and maintain office health and safety protocols, ensuring compliance with regulations and a safe working environment. Conduct regular health and safety audits and coordinate emergency response drills.
