Job Summary:

We are seeking a highly organized and detail-oriented Business Operations Coordinator to support the efficient operation of our firm. As a key member of our team, you will provide administrative support to accountants and partners, ensuring seamless day-to-day operations.

Key Responsibilities:

  • Provide administrative support to accountants and partners, including scheduling meetings, managing calendars, and coordinating appointments.

  • Assist with client onboarding, document collection, and maintaining client files in a secure, organized manner.

  • Prepare, proofread, and format client correspondence, reports, and other documents.

  • Handle client inquiries and direct them to the appropriate team member.

  • Coordinate and manage the flow of documents for tax filings, audits, and other accounting services.

  • Maintain and organize office supplies, equipment, and resources to ensure the office runs efficiently.

  • Assist with billing, including tracking payments and outstanding invoices.

  • Support the recruitment, onboarding, and training of new administrative staff as needed.

  • Ensure compliance with firm policies and procedures, including confidentiality and data protection standards.

  • Manage office communication systems, including phones, emails, and internal messaging platforms.

  • Coordinate team meetings, firm events, and client functions.
