About the Role

We are seeking a highly organized and customer-focused individual to join our team as a Client Services Officer.

Responsibilities:
  • Greet clients and visitors in a professional and friendly manner, setting the tone for exceptional service.
  • Assist with basic accounting tasks such as invoicing and billing, ensuring timely and accurate completion.
  • Liaise with regulatory bodies including the ATO and ASIC, maintaining compliance and upholding our reputation.
  • Answer and direct phone calls to the appropriate staff members, prioritizing client inquiries and needs.
  • Manage the firm's main email inbox, forwarding messages and responding promptly to maintain seamless communication.
  • Schedule appointments and coordinate conference room bookings, optimizing productivity and efficiency.
  • Assist clients with inquiries regarding services, appointments, and general information, providing clear and concise support.
  • Process client intake forms and update client databases, ensuring accurate and up-to-date records.
  • Maintain the reception area, ensuring it remains clean, organized, and presentable, reflecting positively on the firm.
  • Coordinate incoming and outgoing mail and packages, streamlining logistics and minimizing delays.
  • Provide administrative support as needed, adapting to changing priorities and demands.
About You:
  • You will be a proactive and detail-oriented individual, capable of handling a variety of tasks with efficiency and enthusiasm.
  • Prior experience working within an accounting firm is essential, with a strong understanding of ASIC and ATO regulations.
  • You will have experience in a customer-facing role, providing exceptional service and support to clients.
  • Strong verbal and written communication skills are required to interact confidently and professionally with clients, colleagues, and stakeholders.
  • You will be able to multitask and prioritize tasks effectively, managing various responsibilities such as scheduling appointments, managing inquiries, and handling administrative duties.
  • Able to handle client inquiries and resolve issues efficiently, demonstrating resourcefulness and professionalism in finding solutions.
  • Familiarity with basic accounting terminology and processes is necessary to provide effective support.
