
Reservations Coordinator

Job Overview:
The ideal candidate will be responsible for managing FIT and group bookings, as well as coordinating groups. Tasks will include sourcing new business, quoting, converting leads, planning, execution and serving as a liaison between customers and the resort.
Key Responsibilities:
- Maintains comprehensive knowledge of standard reservation procedures, including correct forms to use, email, messages, and how to interpret availability sources within the reservation systems.
- Acts as a trusted contact for all guests, helping them with any issues or concerns, and looping in management when necessary.
- Stays one step ahead of guests' needs by recording and acting on their preferences, handling messages, requests, questions, and concerns.
- Takes and manages guest bookings, up-selling opportunities, and informs guests about ways to improve their stay.
- Jumps into other ad-hoc duties when colleagues need assistance.
- Logs all guest complaints into duty logs, guest profile notes, and ensures that management is aware of any existing or potential guest issues.
- Completes check-in and check-out guests from Property Management System Opera through the telephone.
- Effectively manages FIT and group reservations, waitlist, and 'no show' reservations.
- Effectively updates PMS with any special requirements, early departures, extensions, etc.
- Focuses on maintaining a high level of accuracy in both hotel reservations and guest requests.
Requirements:
- Comprehensive understanding of Hotel systems and planning principles.
- Strong presentation, commercial, and communication skills.
- Strong influencer and persuader.

- Proactive approach to developing and maintaining strong relations with clients and stakeholders.
