Medical Operations Manager

We are seeking a highly capable and results-driven Medical Operations Manager to join our dynamic team.

As our Medical Operations Manager, you will be at the forefront of driving profitability and growth. You will lead a team of Nurses and Medical Receptionists and collaborate with the management team in supervising the clinic. Your Key Responsibilities:

  • Leadership & Management: Lead multidisciplinary teams, including doctors, nurses, and administrative staff.
  • Healthcare Compliance & Regulations: Knowledge of healthcare laws and accreditation requirements.
  • Crisis & Emergency Management: Handle medical emergencies, staffing shortages, and operational disruptions effectively.
  • Operational & Organisational Skills: Ensure smooth patient flow, appointment scheduling, and high-quality patient care.
  • Process Optimisation: Streamline workflows to reduce wait times and improve efficiency.
  • Resource Allocation: Manage medical supplies, staffing, and facility maintenance efficiently.
  • Communication & Interpersonal Skills: Liaise between medical staff, patients, and external stakeholders; address disputes and patient complaints professionally.
  • Financial & Business Management: Budgeting, cost efficiency, revenue cycle management, and financial planning.
  • Vendor & Contract Negotiation: Procuring medical equipment and services at competitive rates.
  • Monthly Targets & Budgets: Ensure clinic operation aligns with monthly targets and budget.
  • Health Promotion & Prevention: Optimise health promotion strategies to improve patient outcomes.
  • Technical & Analytical Skills: Healthcare IT & EMR systems, data-driven decision making, and using Medicare items and billing software.
  • Quality & Risk Management: Implement protocols to reduce medical errors and enhance patient safety.
  • Regulatory Changes & Compliance: Stay updated with evolving healthcare policies.
  • Crisis Management: Respond to public health emergencies and facility issues.
  • Continuous Improvement: Drive innovation in patient care, workflow efficiency, and staff performance.

Requirements:

  • Exceptional leadership and motivational skills to inspire nurses and receptionists to deliver exceptional clinic performance.
  • Excellent analytical skills with the ability to interpret data to inform strategic decisions.
  • Minimum 2 years of prior Office Manager experience.
  • Prior experience in the medical & health field is highly preferred.
  • Collaborative, solution-oriented mindset with a focus on continuous improvement.
  • Excellent communication and negotiation skills and ability to cultivate lasting relationships.
  • Advocate for safety, compassion and active listening in the workplace.
  • Experience with relevant software (Pracsoft, Medical Director and Best Practice).
  • Experience with diverse patient groups (e.g., adolescents, aged care, migrants/refugees, Aboriginal and Torres Strait Islander peoples).
  • CPR/Triage training, and management of emergencies, handling complaints, Medicare & health funds, basic infection control, safe handling & disposal of medical waste.
