Job Summary:
We are seeking a highly organized and efficient Contracts Administration Assistant to support our team in Mount Waverley. As a key member of our Contracts Administration team, you will play a vital role in ensuring the smooth execution of contract administration duties.
Key Responsibilities:
- Contract Administration: Ensure current processes and workflows are kept updated, providing administrative support to the Contract Manager and Technical on-site team.
- Record Management: Timely planning of preventative maintenance record management, preparing monthly reporting in line with client requirements.
- Documentation: Preparing/typing manuals, general correspondence, i.e., letters, memos, minutes, gathering and maintaining current information from subcontractors, suppliers, and managers.
- Database Management: Maintaining the database of accredited suppliers, insurance certificates, and contact details.
- Procurement: Raising purchase orders and preparing documentation of invoices for the finance department.
- Reporting: Producing presentations and reports as required.
- Ad-Hoc Duties: Performing ad-hoc duties as requested by management.
Requirements:
You will have a strong 'can-do' attitude, high attention to detail, be self-motivated, enthusiastic, and possess excellent interpersonal, written, and communication skills. 3 to 5 years of experience in a similar role is essential, and previous experience in the building services industry is highly regarded.
Preferred Skills:
Intermediate to advanced level of MS Office, i.e., Word, Excel, Outlook, PowerPoint, and Access, and knowledge of Great Plains is highly regarded.
Working Hours: This is a full-time role with 40 hours per week, Monday to Friday, 8:00am to 4:30pm or 8:30am to 5:00pm, with a 30-minute lunch break.
