The Office Experience Coordinator role is a vital part of our organization.

Key Responsibilities
  • Event Planning: Develop and execute strategies for in-office events, workshops, celebrations, and updates that foster collaboration, innovation, and employee well-being.
  • Work closely with department heads to understand team needs and preferences for events.
  • Reception Management: Ensure the reception area provides a warm and professional welcome to visitors and guests by managing visitor access, sign-ins, and pass distribution.
  • Coordinate logistics for catering, supply, and vendor delivery.
  • Social/Wellbeing Initiatives: Implement social and well-being programs that enhance employee satisfaction and work-life balance, including wellness programs, mindfulness sessions, and other activities contributing to a positive workplace culture.
  • Facilitate social groups and activities across multiple office locations.
  • Office Operations: Oversee day-to-day operations, including office supplies, equipment maintenance, mail, couriers, and cleanliness, ensuring optimal workspace efficiency and employee comfort.
  • Manage meeting rooms, booking systems, and IT equipment to facilitate seamless communication and productivity.
  • New Starter Onboarding: Ensure a smooth onboarding process for new employees, providing necessary support and resources to help them integrate into the company culture.
  • Develop and implement strategies to boost employee engagement and satisfaction through regular feedback gathering and communication.
  • Health & Safety Compliance: Ensure adherence to health and safety regulations by conducting regular risk assessments and coordinating emergency response plans.
  • Implement ergonomic solutions to enhance employee well-being and optimize workspace design.

This role requires strong organizational and communication skills, with the ability to adapt to changing priorities and circumstances.
