
Facilities Operations Coordinator

Job Description:
- We are seeking an experienced Facilities Operations Coordinator to manage the day-to-day operations of our facility, ensuring a safe and efficient work environment.
Key Responsibilities:
- Maintenance and Operation of Building Services: Manage maintenance and operation of building services, including approval of work orders, tax invoice processing, and contracts within delegated authority.
- Budget Management: Deliver operational expenditure budget against forecast.
- Compliance: Ensure compliance with requirements of the Mirvac Quality Management System.
- Maintenance and Operational Issues: Advise property manager and senior facilities manager on maintenance and operational issues affecting normal operation of building and operating budget.
- After-Hours Calls: Respond to all after-hours calls as required.
- Asset Register and Preventative Maintenance Planner: Maintain up-to-date asset register and preventative maintenance planner in required business format.
- Statutory Logs and Registers: Maintain all relevant statutory logs and registers relevant to properties.
- Contractor Management: Manage all contractors in accordance with Mirvac HSE&S policies and procedures.
- Building Management Control System: Regularly monitor building management control system.
- Plant and Equipment Inspection: Physically inspect all plant and equipment to ensure operational readiness for building occupancy.
- Operational Healthcheck Proforma: Participate in operational healthcheck proforma with divisional manager, onsite senior facilities manager, and property manager.
- FCR Compliance Reporting: Complete all FCR compliance reporting within correct timeframes.
- Property Presentation: Ensure all areas of property are presentable at all times.
- Information Requests: Respond to any information requests from portfolio manager, property management, senior facilities management, or asset services team.
- Staff Meetings: Attend and contribute to staff meetings to ensure that Mirvac staff and core contract staff are fully apprised of all activities.
- Performance Management Process: Complete performance management process and related documentation on time as outlined in performance management program, including development plan.
- Ownership of Property's Operation: Take leading role in ownership of property's operation.
- Tenant Relationships: Develop and maintain strong relationships with all customers.
- Tenant Requests: Acknowledge tenant requests reported through Infinity or via email, plan corrective actions, and provide follow-up feedback to customer.
- Tenant Meetings: Attend tenant meetings as required.
Requirements:
- Minimum 5 Years' Experience in All Facets of Facilities Management: At least 5 years' experience in all facets of facilities management typically stemming from solid administrative and/or technical background.
- Demonstrated Experience in High-Volume Role: Demonstrated experience in high-volume role with conflicting priorities.
- Negotiation and Enforcement of Contracts: Demonstrated experience in negotiating and enforcing contracts.
- Australian Standards, NCC, HSE, DDA, and Risk Management: Demonstrated understanding of Australian standards, NCC, HSE, DDA, and other risk management issues.
- Communication and Interpersonal Skills: Exceptional communication and interpersonal skills.
