Purpose of the Role
BGIS is seeking a proactive Facilities Coordinator to manage day-to-day operations at a high-profile corporate site in Sydney's CBD.
Reporting directly to the Account Manager, this is an on-site, client-facing role where you will act as the central point of contact for facilities operations, ensuring smooth and efficient service delivery.
This is a full-time temporary role with the potential to extend and is strongly encouraged for internal candidates seeking a growth opportunity.
The ideal candidate will possess excellent communication skills, a strong administrative background, and the confidence to liaise with a variety of stakeholders.
It will require prioritising conflicting deadlines as well as reporting and analytics to meet contractual requirements.
Key Responsibilities
Act as the first point of contact for all facility-related enquiries from internal and external stakeholders.
Manage and delegate maintenance requests, track KPIs, and ensure timely completion of work orders in the CMMS.
Support the Facilities and Account Managers with procurement, invoice reconciliation, and budgeting tasks.
Maintain compliance with safety and environmental policies and manage contractor performance.
Take ownership of monthly & quarterly reporting and ensure documentation is accurately maintained.
Education, Experience & Skills
Essential:
Experience in facilities coordination or corporate property services.
Strong computer skills, including CMMS, Microsoft Office (Excel, Outlook, Word), Power BI.
Experience with Power Automate and Flows will be highly regarded.
High-level communication and stakeholder management skills.
Sound financial acumen and an understanding of compliance frameworks.
Desirable:
Knowledge of subcontractor scoping, tendering, and service contract management.
First Aid Certificate and/or qualifications in facilities or building management.
Flexibility to multitask and adapt in a fast-paced, client-driven environment.
