Job Title: Administrative Operations Manager

The role of the Administrative Operations Manager is pivotal in ensuring the smooth functioning of our business operations.

This involves overseeing and managing various administrative tasks, including office management, vendor coordination, procurement support, IT administration, and travel arrangements.

Main Responsibilities:
  • Procurement & Approvals: Manage PRPO processing and approvals, coordinate consultant engagement approvals, and liaise with Procurement for proper vendor management and compliance.
  • Administration & Office Management: Oversee day-to-day office operations, including landlord interactions, facilities, stationery, and supplies, as well as coordinating IT support with HQ/Regional teams.
  • Travel & Event Support: Manage travel bookings, act as function coordinator for exhibitions and conferences, and provide logistical and administrative support for business meetings and team activities.
  • Employee & Project Support: Assist HR with onsite onboarding and ensure workplace health & safety compliance, support project development teams with administrative needs, and facilitate smooth coordination between office-based and site-based employees.
Requirements & Qualifications:
  • Bachelor's degree in Business Administration or related field.
  • Minimum 5 years' experience in administration management, preferably in multinational companies or energy/project-driven industries.
  • Strong knowledge of Australian administrative practices, vendor management, and workplace compliance.
  • Bilingual proficiency in English and Chinese (Mandarin) to facilitate global coordination.
  • Excellent organizational, multitasking, and problem-solving skills, along with strong communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with ERP systems is an advantage.
