Job Summary

We are seeking a highly organized and detail-oriented Executive Assistant to support our Investment Banking team in Sydney. The successful candidate will be responsible for providing administrative support to the team, including calendar management, travel arrangements, and expense reports.

Key Responsibilities

  • Manage calendars, including coordinating client and internal meetings, calls, and Zoom meetings
  • Maintain team calendars, including client meetings and contact information in Salesforce
  • Answer phone calls and emails, relaying information in a timely and accurate manner
  • Book flights and accommodation for team members, including knowledge of banker and client activities and travel policy guidelines
  • Process expense reports for bankers within strict deadlines
  • Organize client entertainment, including lunches and dinners, and work with the Events team and bankers to invite clients to events
  • Coordinate room bookings for client meetings and lunches, and liaise with the catering manager when required
  • Take on ad hoc tasks while maintaining workflow
  • Support bankers with day-to-day issues, needs, and queries
  • Provide coverage for EA colleagues during breaks and holidays
  • Foster a cohesive work environment within the EA team in the A/NZ region

Requirements

  • Proven ability to work proactively in a fast-paced and demanding environment
  • Highly organized with strong attention to detail and ability to manage multiple tasks and deliver quality results
  • Excellent communication skills, including in person, on phone, via Zoom, and by email
  • Strong Microsoft Outlook skills, including fast and accurate keyboard skills
  • Ability to work with various technology systems, including expenses, travel, and in-house systems
  • Professionalism, maturity, and ability to bring ideas and experience to tasks
  • Proactive, punctual, reliable, and a team player, with a willingness to help other members of the EA team
  • Comfortable working with people at all organizational levels, internally and externally
  • Flexible and adaptable to work and support across multiple teams
  • Resourceful and able to use own initiative in solving issues
  • Ability to maintain confidentiality and discretion at all times
  • Friendly, polite, and approachable, with a can-do attitude and willingness to help other members of the EA team

Working Arrangements

The role is an initial 12-month contract with a very good chance of going permanent for strong performers. The successful candidate will be required to work Monday to Friday, 9:00am to 5:30pm, with flexibility outside these hours essential.
