Submissions & Marketing Coordinator – Project Management Consultancy
If you thrive under deadlines, love crafting professional and polished documents, and want to see your work directly influence project wins, this Submissions & Marketing Coordinator role could be your ideal next step.

The Company
Join a leading project management consultancy based in Melbourne’s Inner CBD. Known for delivering high-quality outcomes across commercial, mixed-use, and public sector projects, this team values collaboration, professionalism, and a genuine commitment to excellence.
You’ll be part of a dynamic, fast-paced environment where attention to detail, presentation, and communication matter — and where your contribution plays a key role in the firm’s continued growth and success.

The Opportunity
We’re seeking an organised and creative coordinator to take ownership of submissions, marketing materials, and business support functions across the consultancy.
Working closely with Directors and Project Managers, you’ll bring together engaging, visually compelling documents and ensure the smooth flow of information across the business.

Key Responsibilities

- Coordinate the preparation of EOIs, RFPs, and tender submissions from start to finish.
- Develop clear, professional, and persuasive written content
- Work with senior leaders to gather project information and shape key messaging
- Design and format high-quality documents in line with brand standards
- Maintain and update templates, project summaries, case studies, and capability statements
- Support business development and marketing activities, including social media content, website updates, and newsletters
- Coordinate team CVs, photography, and marketing assets
- Manage submission schedules, track tender notifications, and maintain accurate databases
- Contribute to internal systems and quality processes (including document management and HSEQ procedures)

The Foundation for Success

- Previous experience in submissions, marketing, or bid coordination within property, construction, or design-related industries
- Strong writing, editing, and formatting skills
- Proficiency in Microsoft Office; experience with Adobe InDesign is highly regarded
- Excellent organisational skills and the ability to manage competing priorities
- High attention to detail and a sharp eye for presentation
- A proactive, team-focused attitude and professional communication style

The Benefits
This is an opportunity to join a respected and growing consultancy where your skills will be recognised and valued.
You’ll have ownership of a key function, direct access to senior leaders, and the chance to shape how the business presents itself to the market.

Location and Hours
Inner Melbourne CBD, full-time, Monday to Friday
