Eden Ritchie is seeking an Administration Support Officer to comprehensively provide, develop and maintain an efficient, effective and confidential administrative and correspondence support to the Directors and Branch, by managing all incoming and outgoing correspondence to ensure accurate, timely and relevant information is provided.

**As the Administration Support Officer, your key responsibilities will include**:

- Adhere to defined service quality standards, health and safety policies and procedures relating to the work being undertaken to ensure high quality, safe services and workplaces.
- Support the Directors by providing confidential, executive and secretarial support including the production of high-quality documents, enquiry screening, diary management, travel bookings and timely provision of documentation to support the Executive Director’s participation in meetings.
- Using discretion, autonomously examine, redirect and respond to incoming correspondence for the office of Research and Innovation (including papers and reports); and where appropriate prepare replies for consideration (within defined boundaries).
- Liaise, negotiate and consult with the senior management and officers across the units, branch and division, to ensure correspondence is completed in a timely manner maintaining effective relationships with team members, and internal and external clients and stakeholders.
- Proof read and edit outgoing correspondence to ensure accurate, timely and relevant information is provided.
- Autonomously assign, track, monitor and report on all incoming and outgoing correspondence for the Branch; including preparing replies for consideration (within defined boundaries) and determine the coordination of actions and priorities.
- Maintain an effective records management system (including the Branch computerised database) to implement efficient correspondence and document tracking.
- Review, develop, evaluate and improve unit correspondence work systems, procedures and guidelines (in line with Branch and Divisional requirements) to ensure timeframes are met and ensuring all unit staff understand the current correspondence processes and standards.
- Be an effective team member, willing to learn and actively participate in a high performing team assisting with ad hoc business support functions and contributing to the quality improvement of operating procedures and checking of outputs.

**The successful applicant will demonstrate**:

- High level written and verbal communication and interpersonal skills, demonstrating the ability to communicate effectively with officers at all levels with integrity, tact, ethical conduct, confidentiality and ensuring client interest.
- Demonstrated high standard and experience of administrative support skills including administrative processes and reporting requirements, and information systems relevant to the business.
- Demonstrated ability to self-motivate and work cooperatively, effectively and collaboratively within a team environment; to
- Work autonomously and utilise discretion in the absence of decision makers; and to meet deadlines and establish work priorities to maximise efficiency, work output and the changing needs of the team.
- Demonstrated ability to deliver work of a high quality, validity and accuracy in a timely way.
- Demonstrated experience in managing large volumes of incoming and outgoing correspondence, including proof reading, editing and formatting.
