**The Company**:
This company is one of Australia's leading event, exhibition and media companies that specialise in organising large scale events across Australia. The company is looking for an Event Coordinator to coordinate the launch of a travelling theatre show the company is launching.
**The Role**:
The Event Coordinator role will report to the CEO, Operations Manager and management team. The Event Coordinator will be responsible for planning and coordinating the logistics and operations as well as delivery of the touring theatre show around Australia. Working off budgets, timelines and effectively using the company’s processes and systems to co-ordinate these events from start to finish. Reporting to management with project updates and working diligently with a small, young, fun, creative team.
Key Responsibilities include;
- Coordinate the launch of traveling theatre show that will travel around the majority of states in Australia but significantly up the Eastern Seaboard to Melbourne, Sydney and Brisbane
- Manage venue bookings such as theatre bookings and big top tents
- Uphold event timelines and work with team members on deliverables and due dates
- Work with creative director on all deliverables
- Collaborate with media team on tour announcement strategy
- Report to the CEO, Operations Manager and management on event timelines with updates on progress as required
- Monitor event deliverables and highlight any challenges or innovate solutions
- Create and manage floor plans to maximise visitor flow and exhibitor success, working with suppliers and contractors
- Coordinate communications with suppliers and contractors
- Work with venues on all planning requirements
- Manage food and beverage bookings
- Coordinate liquor license
- Contract talent and manage all necessary requirements, bookings and insurances
- Coordinate development of standards and related documents (i.e.: handbooks, risk assessments, event insurance, public liability, requirements and technical publications) through constructively managing stakeholder input and venue requirements.
- Establish and maintain plans and information for all events using the organisation's project management system, including risks, scope, size and timelines, in consultation with stakeholders
- Ensure events are delivered within agreed parameters and companies event management methodology
- Work to budgets
- Coordinate logistics for event needs
- Coordinate staff rosters on site of live events
- Coordinate all relevant needs for events allocated by management, CEO, Operations Manager, clients, exhibitors and team members.
- Experience in following budgets and timelines
- Have a creative flare
- Experience with creating floor plans
- Excellent communication and stakeholder management skills
- Experience organising relevant permits and licenses is desirable
- Domestic travel will be required to most states in Australia
