**The Company**:
A great powerhouse B2B exhibition agency based in Melbourne that strives to strengthen business communities and grow amazing exhibitions. With a great open culture and passion for training their staff, this is a brilliant team environment. They are looking for a new permanent Event Coordinator to join their team.

**The Role**:
The Event Coordinator role will report to the Operations Team Leader. The Event Coordinator will be responsible for assisting in the management and delivery of a range of exhibitions and events, as well as managing the distribution of information to relevant stakeholders.

Key Responsibilities include;
- Create and manage the event project timeline and alert the team to approaching deadlines
- Oversee the completion of on-site documents including site checklists, running sheets and site manual
- Work with Operations in the delivery of all events and assist where required with tasks such as venue selection, ordering furniture, ordering catering, ordering AV, developing run sheets and liaising with MCs etc.
- Manage all meeting room bookings including catering and AV requirements
- Implement, monitor and adjust coordinator processes and procedures where required and communicate to the wider coordinator team
- Manage the travel and accommodation bookings for all staff assisting on-site at events
- Create and manage the online exhibitor manual including drafting communication alerting exhibitors of approaching deadlines
- Draft all exhibitor communication including but not limited to welcome letters, deadline information, cooling off letters, and variation information and liaise with the customer service team to communicate these items
- Produce detailed itineraries for guest speakers to attend the event, including run sheet, travel and accommodation and visas (where required)
- Coordinate fulfilment of sponsorship deliverables including sourcing quotes for items such as show bags and lanyards
- Superior attention to detail, and strong organisational capabilities in terms of prioritising work and meeting deadlines.
- Advanced interpersonal, verbal and written communication skills.
- A desire to support the team and be an integral player, in the ongoing success of the team and company is essential.
- Ability to remain calm while working to tight deadlines and managing multiple requests for support from the team.
- Works well autonomously, has strong initiative, and is a self-starter coupled with a ‘can-do’ attitude.
- Superior standards of customer service and support.
- Ability to work irregular hours (if required).
