Join us as a Personal Assistant & Office Co-Ordinator, supporting our Melbourne Office, and Senior Leadership Team
- Are you an organised, proactive individual with a passion for providing high-level administrative support? Do you enjoy managing complex schedules, coordinating events, and making sure everything runs smoothly behind the scenes?
- This role is an exciting opportunity to work closely with our Head of Strategic Accounts & Research and our Head of Wholesale, HNW & Listed Markets, providing them both with comprehensive PA support whilst also managing the operations of our Melbourne office.
- Based in the heart of Melbourne's CBD, you’ll be joining a friendly, dynamic, and collaborative team in a hybrid environment where you can expect to work 3 days in office and 2 days from home.
About the role
As Personal Assistant & Office Co-Ordinator you’ll have a varied and impactful role, supporting 2 Senior Managers and managing the day-to-day operations of the Melbourne office. Your ability to stay organised, manage multiple tasks, and build strong relationships will be key to your success.
No two days will be the same in this fast-paced, varied role, but your contribution will be pivotal to the team's success.
Here’s what you can expect:- Office Management: You’ll be the face of the office, being the first port of call for all external visitors as well as serving as the main liaison with building management, facilities, oversee office stock and supplies, and manage access passes.- Event Coordination: You’ll organise key events such as Strategy Days, client workshops, recognition events, morning teas and handling all logistics, venue selection, and catering.- Travel Coordination: You will handle all aspects of domestic and international travel for the team, ensuring every detail is meticulously arranged from flights to accommodations all in line with internal policy.- Stakeholder Liaison: You’ll be the point of contact for interstate colleagues, contractors, and tradespersons, as well as liaise with internal teams on client presentations and event logistics.- Expense Management: You’ll process invoices and expense claims, ensuring timely reconciliation through internal systems.- Project Support: Your role will also involve supporting the team with projects, data management, and liaising with the Events Team to coordinate internal and external events and functions.- Technology Support: You’ll be able to initially assist with any technology related issues (portable devices including Phones, Laptops, Citrix and Teams, photocopier jams and printing issues etc). If you can’t resolve, you’ll be able to co-ordinate with the relevant technology teams to support.
The skills & experience you’ll need
To excel in this role, you’ll bring 3-5 years' experience as a Personal Assistant/Executive Assistant or Office Manager type role, ideally supporting a sales or financial services team, as well as- Strong organisational and time management skills with high attention to detail.- Proficiency in MS Office (Outlook, PowerPoint, Word, Excel) and experience with Salesforce is highly desirable.- Genuinely passionate about going above and beyond in role.- Excellent communication skills, with the ability to build rapport and maintain relationships across teams.- A proactive approach and the ability to anticipate needs and prioritise tasks effectively.- Nice to have: Previous experience of being a designated Fire Warden and/or First Aid Officer
