**Role Overview**:
Ello Care is seeking an organised, adaptable, and proactive Office Administrator / Assistant to support the smooth running of our operations. This versatile role plays a key part in maintaining efficient administrative processes, ensuring the daily operations of our office are well-coordinated.
As an Office Administrator / Assistant, you will be responsible for a wide range of tasks including billing support, scheduling, document management, and providing general administrative assistance to the team. You will also interact with clients, manage incoming communications, and maintain a clean, professional, and welcoming office environment.
This role is suitable for both experienced professionals and those looking to develop their skills in a fast-paced office setting. **Key Responsibilities**:
- Assist with billing processes, including invoicing and data entry.
- Manage, support and organise senior staff schedules, ensuring accurate and timely updates.
- Maintain and organise office documents, records, and files.
- Provide general administrative support, responding to ad-hoc requests as they arise.
- Professionally answer, screen, and distribute phone calls.
- Warmly greet visitors and clients, ensuring a positive experience.
- Maintain a clean and presentable office environment.
- Enter participant data, ensuring accuracy and confidentiality.
- Take responsibility for the timely and thorough completion of tasks.
- Display an understanding of and adhere to privacy and confidentiality protocols.
- Assist in coordinating meetings, preparing meeting materials, and maintaining office supplies.
- Perform other general administrative and office duties as required.
**About you**:
- Previous experience in an administrative or office support role.
- Strong attention to detail and a commitment to accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Excellent communication skills, both written and verbal.
- Strong organisational skills, with the ability to manage multiple tasks simultaneously.
- Office etiquette, a professional approach, and an understanding of how a corporate environment works.
- Exceptional time management skills, with the ability to prioritise tasks effectively.
- Willingness to learn, be proactive, and take on new challenges.
- Ability to multitask and take instruction from multiple staff members.
- A team-oriented mindset, with the ability to collaborate across various departments.
