**Scope and Purpose of the job**
To be the initial point of contact for customers and manage the Administration functions of the business.
**Essential skills**
The Receptionist needs to be computer literate, have good organisational and general office skills.
**Main Duties**
1. Co-ordination of all administrative functions.
2. Ensuring that all data and records are up to date and maintained.
3. Liaise with customers.
4. Liaise with management and administrative staff of insurance companies.
5. Supervision of telephones
6. Creation of the “Job File”
7. Issue and control system documentation.
8. Adhere to the company policies, procedures and standards.
9. Approve Office documentation.
10. Key customer contact including the collection and loading of customer data into the Estimating software.
11. Telephone answering and fielding of calls on behalf of the general manager and manager.
12. Customer follow-up and progress reporting.
13. Liaising with production manager for timely customer reporting and notification.
14. Controlling and organising courtesy car scheduling.
15. Data / estimate entry into the Estimating software and insurance company web based estimating software.
16. Parts pricing.
17. Invoicing and post job collation of customer packs and warranties prior to vehicle delivery.
18. Checking and entering parts and materials invoices into the Estimating job costing software.
19. Co-ordinate vehicle and customer pick up and delivery.
20. General tidiness of office and reception area.
21. Maintain office supplies.
22. Any other reasonable request from management
Position Available for immediate start.
**Salary**: $53,000.00 - $56,000.00 per year
Schedule:
- 8 hour shift
Supplemental pay types:
- Overtime pay
