Within Global Workplace Solutions, also known as GWS, we are invested in the development and unique needs of our diverse employees and client accounts.- The role of the Facilities Coordinator is to provide support to Account Director and the client’s team, ensuring all premises are maintained to a high standard contributing to an exceptional experience for the comfort and safety of all staff and customers. The Facilities Coordinator will coordinate the issue of monthly planned maintenance tasks, manage all open work orders, update the asset register and provide a reporting function in accordance with the reporting timetable and for all ad hoc reports.**Here's a snapshot of your day;**
- Works closely with remote site contacts to support the account to deliver facilities management services at assigned properties.
- Directly liaises with local site personnel and external service providers, as necessary, to fulfil the role.
- Responds to client inquiries and concerns in a timely manner, ensuring a high quality service delivery to clients. Follows up with clients to ensure high level of customer satisfaction.
- Undertakes regular inspections of the facility to identify and address issues as per agreed scope of works.
- Coach and supervise the reception team to maintain a highly professional and positive reception experience for both internal and external visitors.
- Reviews work orders to ensure that assignments are completed.
- Creates work orders and assigns work orders to subcontractors and vendors.
- Coordinates work orders processes and work delivery with subcontractors and vendors to ensure compliance with SLAs and assist in resolving problems.
- Assists reception in processing invoices, raising purchase orders, receipting and ensuring proper cost centre coding if required (leave cover)
- Liaises with contractors and key stake holders, ensuring the relevant inductions, work permits and clearances have been addressed.
- Administration of contractor compliance with OH&S obligations including, but not limited to, site inductions, insurances, and permits to work.
- Manages subcontractor invoicing, reporting and work order closures.
- Trains vendors on work order and billing procedures.

**What you’ll need to thrive in this role**:

- Excellent Customer Service relationship skills.
- Ability to build effective relationships with clients, tenants, contractors and colleagues..
- Intermediate level in core Microsoft packages - particularly Word, Excel and Outlook.
- At least 2 years’ experience in an associated building operations or services role.
