Service Support Administrator – EQUANS ANZ. The role is based in Hallam, Victoria, Australia.
Equans, a leading provider of technical services across Australia & New Zealand, and globally, is on the lookout for a dynamic and experienced Administrator to join our Mechanical and Fire Protection Services team at our Hallam office.
It is preferable that you have exposure to multi-service, facilities management and/or a maintenance business.
You will have strong communications skills, sound experience scheduling technicians, using Microsoft Excel, Word and exposure to ERP/Scheduling tools, along with the ability to learn quickly, multi-task, thrive in a fast paced environment and be customer centric.
Previous administration experience working in the Mechanical and Fire Protection industry is also highly desirable but not essential.

What You Will Be Doing- Process purchase orders
- Order and allocate materials
- Manage technician scheduling
- Liaise with suppliers, subcontractors, customers, and technicians
- Update calendars and jobs within the ERP and scheduling tool
- Answer phones and provide exceptional customer service
- Provide administrative support to the Operations Manager
- Maintain customer service documentation and ESM compliance
- Prioritize service calls (triage) based on criticality
- Manage Work In Progress and Open Job reports
- Follow up on any outstanding work
- Plan, allocate work and schedule technicians efficiently
- Work within customer portals to manage workflow
- Produce, analyse and actioning job and financial reports
- Ability and willingness to learn quickly and master new skills and systems
- A motivated, confident and initiative-taking temperament
- Ability to communicate with clients, colleagues, and technicians in a clear and confident manner
- Problem-solving skills that help identify issues and develop solutions
- Adaptability – being flexible and open to change in a dynamic business environment
- Intermediate to advanced computer & MS Office skills including Excel
- The ability to analyse information and make informed decisions, including maintenance job data to create efficient job run schedules
