Mike Carney Toyota is seeking a proactive and professional Executive Assistant to provide high-level support to our Senior Leadership Team (SLT). If you thrive in a busy environment, enjoy juggling competing priorities, and can think three steps ahead, this role is for you.

What You'll Be Doing

As the EA to our SLT, you'll be the organisational powerhouse behind the scenes. You'll manage complex calendars, prepare for critical meetings, coordinate travel, and ensure the leadership team stays focused and effective. This role is vital to the smooth operation of our dealership and plays a key part in driving business performance and strategic outcomes.

Key Responsibilities:

  • Manage and coordinate calendars, meetings, and logistics for multiple SLT members.
  • Prepare agendas, reports, presentations, and take accurate meeting minutes.
  • Track action items and ensure accountability to deadlines.
  • Coordinate travel, accommodation, and itineraries.
  • Act as a professional liaison between the SLT and internal/external stakeholders.
  • Support internal communications, projects, and compliance documentation.
  • Help organise events, workshops, and leadership sessions.
  • Maintain governance registers and assist in audit preparation.
About You

You're organised, proactive, and confident working closely with senior leaders. You communicate clearly, manage confidential information with care, and are always one step ahead.

You'll have:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar senior administrative role.
  • Exceptional organisational and time management skills.
  • Strong attention to detail and a high level of professionalism.
  • The ability to manage sensitive information with discretion.
  • Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
  • Experience supporting executive or senior leadership teams.
  • Background in automotive, manufacturing, or a similarly fast-paced sector.
  • Familiarity with project/task management tools.
  • Understanding of governance, compliance, or reporting practices.
