Role Summary
The role is responsible for managing the end-to-end student application process, ensuring accuracy, compliance, and a positive applicant experience. This includes assessing domestic and international applications, validating supporting documents, issuing and managing offers, and coordinating acceptance requirements. The position works closely with Sales, Recruitment, Academic, and Student Services teams to ensure smooth transitions from application to enrolment. It involves maintaining accurate records in CRM and Student Management Systems, monitoring compliance with JMC and government requirements, and providing timely, clear communication to applicants and stakeholders. The role also contributes to reporting accuracy, identifies process improvements, and supports a seamless onboarding journey for new students.
Key Responsibilities
Application Processing
- Review and assess domestic and/or international student applications against entry criteria
- Validate documents such as ID, transcripts, certificates, and English language proficiency (as required)
- Manage assessment process as per relevant JMC Policies and Procedures
- Identify incomplete applications and communicate with applicants (or Sales/Recruitment teams) to follow up
Offer & Acceptance Management
- Generate and issue Offers of Admission (conditional and unconditional), as well as Confirmation of Enrolment (CoE) and Overseas Student Health Cover (OSHC) as needed
- Monitor offer acceptances and update CRM or Student Management System (SMS) accordingly
- Ensure acceptance conditions (e.g. payment, documentation) are met before progressing enrolment
Compliance & Eligibility Checks
- Ensure applications meet relevant course and government requirements, such as TEQSA & ESOS
- Conduct visa-related checks (for international students), funding eligibility (e.g. VET Student Loans), or other compliance steps
- Maintain accurate student records and documentation for audits
- Liaise Sales and Academic teams regarding borderline or non-standard applications
- Collaborate with Onboarding and Student Services to ensure a smooth handover once a student is accepted
- Provide timely updates on application statuses, turnaround times, and potential bottlenecks
System & Data Management
- Use CRM to track application statuses, notes, communications, and decisions
- Maintain clean, up-to-date records and contribute to reporting accuracy
- Flag trends or common issues that may indicate a need for process improvement
- Respond to application-related enquiries from applicants or their agents
- Clarify application requirements, timelines, and next steps (in a supportive and clear manner)
Key Attributes and Experience
- Demonstrated experience in tertiary admissions, compliance, or student services, with an understanding of Credit/RPL processes and relevant government systems (e.g., eCAF & PRISMS)
- Knowledge of regulatory frameworks and policies governing domestic and international student admissions
- Skilled in using CRMs, student management systems, and data/reporting tools to manage workflows and maintain accuracy
- Proven ability to ensure data integrity, audit readiness, and process compliance
- Strong professional communication skills with the ability to liaise effectively across diverse cultures, languages, and stakeholder groups
- Ability to manage multiple priorities, meet deadlines, and maintain consistent workflow
- Experience working within cross-functional teams and contributing to workflow enhancements
