Overview

Western Geotechnical and Laboratory Services is seeking an experienced office coordinator to join their team in a full-time position based in Welshpool. In this role, you will be responsible for providing administrative support to the company's operations team, ensuring the efficient and effective management of day-to-day office activities including scheduling and planning.

What you'll be doing
  • Administrative Support: Providing comprehensive administrative support to the operations team, including assisting the Laboratory Manager in planning and scheduling, booking of works, handling correspondence, and coordinating technician resources.
  • Communication Management: Handle incoming and outgoing communications, ensuring that messages and requests are addressed promptly and professionally.
  • Project Management: Assist in the planning and execution of projects, ensuring deadlines are met and objectives are achieved. This includes coordinating with team members, tracking progress, and reporting on project status.
  • Office Management: Oversee the day-to-day operations, ensuring a well-functioning environment. Maintaining and updating various administrative records and databases, ensuring accuracy and efficiency.
  • Meeting Coordination: Organise and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure all meeting logistics are handled efficiently.
  • Relationship Management: Build and maintain positive relationships with key stakeholders, both within and outside the organisation. Collaborating with the wider team to identify and implement process improvements to enhance productivity and efficiency.
  • Account Administration: Handling invoices, processing payments, reconciling accounts, submission of customer project claims and maintaining accurate financial documentation.
  • Confidentiality: Handle sensitive information with a high level of discretion and confidentiality. Maintain the trust and confidence of the senior management team and the organisation.
What we're looking for
  • Minimum 3-5 years of office or project administrator experience in a similar administrative support role
  • Ability to multi-task and adapt as circumstances change
  • Determine to deliver results with a resolute mindset
  • Ability to navigate upwards with confidence
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with both internal and external stakeholders
  • Strong organisational and time management skills, with the ability to prioritise tasks and work autonomously
  • Proficient in the use of various office software applications, including Microsoft Office suite and email management tools
  • A keen eye for detail and a commitment to maintaining accurate and up-to-date records
  • A flexible and adaptable approach to work, with the ability to thrive in a fast-paced, dynamic environment
  • Australian work rights are required for this position
