We have an exciting opportunity for a Business Support Coordinator to work with our Head of Digital, Data and Cyber (DDC) – Defence Delivery and Head of DDC -Digital Portfolio Delivery. You will be a strategic partner responsible for providing high-level, efficient, and professional administrative support to ensure smooth organizational operations.

You will build strategic partnerships and be valued across the function, using your exceptional organizational and proactive skills to ensure deadlines and actions are met. You will manage complex administrative functions, participate in business initiatives as required, and maintain effective communication with internal and external stakeholders.

This role offers flexible work arrangements, including options like a 9-day fortnight and hybrid work model. The position is available at our Liverpool St office in Sydney or Bourke St office in Melbourne.

Key Responsibilities Will Include

  • Providing confidential administrative support, including inbox and diary management, filing, document preparation, collation, and distribution of reports, correspondence, and meeting minutes.
  • Creating presentations for All Hands, Town Hall, and monthly DDC PowerPoint packs.
  • Scheduling and coordinating internal and external meetings, including logistics and catering.
  • Assisting in meeting preparation and providing relevant materials.
  • Coordinating VIP and general visits, including logistics and site access.
  • Organizing domestic and international travel for senior leaders, ensuring compliance with company policies, and managing credit card reconciliations.
  • Supporting Lead Team members and building strong relationships within the administration team.
  • Performing ad-hoc tasks as needed.

  • Ability to support team deliverables and add value collaboratively.
  • Self-motivation and excellent time management skills to handle multiple priorities.
  • Strong relationship-building skills with stakeholders.
  • Excellent written and verbal communication skills.
  • High attention to detail and organizational skills.
  • Proactive mindset and flexibility.
  • Computer literacy, with intermediate MS Suite and SharePoint skills; familiarity with Concur and Oracle is desirable.
