Overview

Job title - Administration Assistant
Location - Newtown
Employment Type - Full time (Monday to Friday 9am - 5pm)
Salary - $25 - $31 per hour (depending on experience)

Responsibilities
  • Use Skedulo (scheduling system) to schedule therapy sessions in alignment with the participant's Therapy Plan or Habit Coach Action Plan.
  • Reschedule sessions when a practitioner or participant is unable to attend.
  • Onboard new participants, explain how services are delivered in the social model, and set expectations for collaboration.
  • Conduct over-the-phone risk assessments and record identified risks to keep therapists and participants safe.
  • Maintain accurate Service Agreements for participants.
  • Attend weekly team meetings and share updates on impact and progress.
  • Collaborate with the administration team to complete tasks efficiently across the area.
  • Deliver professional and emotionally intelligent customer service over the phone, in person, and via email, ensuring a positive participant experience.
Qualifications
  • Demonstrated experience with scheduling or rostering.
  • 2–3 years of administration experience with a customer service and relationship-building focus.
  • Strong skills in managing client databases and practice administration systems (Experience with Salesforce is advantageous).
  • Strong customer focus with the ability to meet or exceed expectations.
  • Ability to work with urgency, set priorities, and complete tasks efficiently.
  • Attention to detail and teamwork orientation.
  • Positive, proactive problem-solving attitude and willingness to adapt and grow.
  • Experience in the NDIS/Disability sector is desirable but not essential.
  • Pre-employment requirements: Working With Children's Check and NDIS Workers Screening Check.
