Governance and Compliance Senior Administrator

We are looking for a Governance and Compliance Senior Administrator to join ourQuality and Governance Team, providing essential support to ensure ourorganisation meets the highest standards of regulatory compliance, patientsafety, and continuous improvement.

We are seeking a proactive and detail-orientedGovernance and Compliance Senior Administrator to provide high-qualityadministrative and coordination support across our governance, risk, andquality functions.

Reporting to the Governance & ComplianceOfficer, you will play a pivotal role in ensuring the organisations compliancewith data protection legislation, regulatory frameworks, and quality standards.

This role is key to supporting patient safety,embedding effective governance processes, and fostering a culture of continuousimprovement.

Main duties of the job

Actively contribute to the patient safety agenda byindependently coordinating governance meetings, preparing agendas, producinghigh-quality minutes, tracking actions, and supporting data reportingfunctions.

Collect and analyse present sensitive and complex data toproduce accurate reports, dashboards, and summaries for governance, assurance,and leadership decision-making.

Co-ordinatecomplaints; including tracking deadlines, setting up relevant meetings, andissue communications on behalf of investigating leads.

Supportorganisational risk mitigations by monitoring compliance trackers, and documentrepositories, prompting timely updates and escalating concerns in accordancewith governance protocols.

Monitor andtriage communications received via shared governance inboxes; respond toroutine enquiries, signpost appropriately, and escalate complex issues asneeded.

Providelogistical and administrative support for internal and external assessments andinspections, including CQC visits and other accreditation or assuranceprogrammes.

Actas a point of expertise for administrative processes within the governanceteam, offering guidance and informal mentorship to junior colleagues andcontributing to continuous service improvement.

Job responsibilities

We are seeking a proactive and detail-oriented Governanceand Compliance Senior Administrator to provide high-quality administrative andcoordination support across our governance, risk, and quality functions.

Reporting to the Governance & Compliance Officer, youwill play a pivotal role in ensuring the organisations compliance with dataprotection legislation, regulatory frameworks, and quality standards.

This role is key to supporting patient safety, embeddingeffective governance processes, and fostering a culture of continuousimprovement.

Main Duties and Responsibilities:

Providehigh-level administrative support to governance projects and strategicinitiatives, ensuring deadlines and quality standards are consistently met.

Activelycontribute to the patient safety agenda by independently coordinatinggovernance meetings, preparing agendas, producing high-quality minutes,tracking actions, and supporting data reporting functions.

Collectand analyse present sensitive and complex data to produce accurate reports,dashboards, and summaries for governance, assurance, and leadershipdecision-making.

Inputquality and safety data to support continuous improvement, compliance, andassurance activities.

Ensureadministrative processes support organisational compliance with relevantlegislation and regulatory frameworks, including GDPR, clinical governancepolicies, and Care Quality Commission (CQC) standards.

Provideproactive support for audits, including tracking actions, coordinating serviceresponses, and facilitating evidence collection.

Co-ordinatecomplex workflows related to incidents, complaints, audits, and regulatorysubmissions, ensuring timely progress against multiple concurrent deadlines.

Supportthe ongoing development and administration of the Event Management Software(Vatix), identifying opportunities for improvement and assisting with systemconfiguration and reporting.

Co-ordinatecomplaints; including tracking deadlines, setting up relevant meetings, andissue communications on behalf of investigating leads.

Coordinateand support learning events via Nimbuscares Vatix platform, including incidentlogging, triaging, action tracking, and reporting to ensure timely learning andaccountability.

Collateand assist in the analysis of patient experience data; contribute to theproduction of reports and presentations to inform organisational learning andservice improvement.

Supportthe administration and tracking of information governance compliancerequirements, including Subject Access Requests and Freedom of Informationrequests, liaising with the Governance and Compliance Officer (GCO) asrequired.

Supportorganisational risk mitigations by monitoring compliance trackers, and documentrepositories, prompting timely updates and escalating concerns in accordancewith governance protocols.

Person SpecificationExperience
  • Proven administrative experience in a governance, compliance, or quality assurance environment, preferably within healthcare or the NHS.
  • Experience co-ordinating and supporting meetings, including agenda preparation, accurate minute-taking, and tracking actions through to completion.
  • Experience producing accurate, high-quality reports and handling sensitive or confidential data.
  • Experience managing multiple priorities and deadlines in a fast-paced environment.
  • Experience providing excellent customer service and professional interaction at all levels.
  • Experience working with SystmOne or other healthcare information systems.
  • Experience completing or supporting Data Protection Impact Assessments.
  • Experience in risk management, audit preparation, or regulatory compliance work.
  • Familiarity with quality assurance frameworks and best practice in governance.
  • Understanding of learning event management systems and processes.

  • Awareness of ISO quality standards or equivalent.
Qualifications
  • Minimum Level 2 Maths and English (GCSE Grade C / Grade 4 or above) or equivalent.
  • Evidence of ongoing professional development relevant to administration, governance, or compliance.
  • Further qualification in business administration, governance, quality management, or related field.
