About The Role
This is a Fixed Term Position until 31 / 07 / 2026
The focus of the role is to coordinate the workflow of the Statutory Planning Referral team and respond to low-risk planning applications (Triage applications). You will be working mainly with the Statutory Referral team in the Inner Metro Region and the Greater Metro Region.
This role is also responsible for analysis / interpretation and presentation of the statutory planning team's incoming and outgoing data. This role requires excellent oversight of the priorities of the Team and an ability to manage strong and competing demands for time and attention.
The role requires a self-managing organiser with the ability to provide support to the team, as well as Management.

To be successful in the role of Planning Support Officer, you will need a foundational understanding of how your work fits within broader systems and contributes to the Department of Transport and Planning's objectives. You should be able to recognise how your tasks connect with other teams and processes and apply systems thinking to support effective problem-solving within your scope.
You will demonstrate a strong commitment to achieving outcomes, taking ownership of your work, and consistently delivering high-quality results. A proactive approach to continuous improvement and innovation is essential, including contributing ideas to improve processes and maintaining standards under time constraints.
Collaboration is key in this role, so you will need to work well with others, communicate effectively, and support team goals. A working knowledge of statutory planning principles is also important, as you'll assist in assessing development proposals against established planning rules and regulations.

Position accountabilities
Provide administrative support and assistance to Statutory Planners within the Greater Metro team.
Monitoring and reporting of incoming applications / enquiries etc and preparation of decision outputs of the Greater Metro Statutory Planning team
Assist and collaborate with administrative staffs within the Planning Heritage and Practice team with general administrative duties and tasks.
Assist the Team Leader(s) with Statutory Planning team's internal process and procedure improvements through implementing Continuous Improvement procedures.
Informing internal and external stakeholders on the Statutory planning process with DTP.
In line with Section 31A of the Public Administration Act 2004 (Vic) other duties may be assigned consistent with employment classification, skills, and capabilities
Qualifications And Experience
Business Administration Qualifications and / or relevant lodgements and allocations of Referral applications and statutory planning related documentations within Local and / or State government agencies (mandatory).
Ability to respond to low-risk applications (triage applications) within the Statutory Planning referral team with minimal supervision and competing timelines (desirable).
Ability in the preparation of weekly and monthly reports capturing incoming applications / enquiries and outgoing referral decision using MS Office, TRS, Spidre and VicMap (desirable).

Pre-employment checks and employment conditions
All new appointments to the department will be subject to a National Criminal Records Check, Misconduct Screening, and a Qualification Check where there is a requirement for a mandatory qualification. Information provided to the Department of Transport and Planning will be treated in the strictest confidence consistent with the requirements of the Privacy and Data Protection Act 2014.
Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa necessary for the nature of the position.
Recipients of Victorian Public Service (VPS) voluntary departure packages should note that re-employment restrictions apply.
Non-VPS applicants will be subject to a probation period of six months.
