SC 1 Demonstrated high level timetabling skills and the capacity to manage priorities, providing timely advice and responsive administrative support to ensure the continuous and efficient operation of the College.


SC 2 Demonstrated high level ability to lead and manage both from an educational and technical perspective the College Timetable and the function of Daily Organiser.


SC 3 Demonstrated high level written and verbal communication capabilities, along with advanced interpersonal skills that include a capacity to develop constructive relationships with staff, students, parents, the wider community and business partners and the ability to represent the Principal Class in a variety of forums.


SC 4 Demonstrated capacity to make high level contributions towards strategic decision making including the provision of high level advice and expertise to the Principal Class.

SC 5 Demonstrated capacity to establish administrative school systems and processes and support the Principal Class in the implementation of the College Strategic and Annual Implementation Plan to improve student learning outcomes

Role:

Daily Organisation

  • Ensure the efficient operation of the College, within the constraints and guidelines determined by the College Principal team.
  • Manage the coverage for all classes and duties for teacher/education support absences including coordinating split classes by identifying leadership or teaching class who will organize splits.
  • Utilise the Edval timetable package to support daily organisation within the college.
  • Coordinate the employment of suitable CRTs and ensure that they have everything required to carry out their duties effectively;
  • Forward planning replacement staff for the upcoming week(s).
  • Liase with appropriate staff to manage room changes both on a daily basis and for whole school and cohortbased events.
  • In conjunction with HR/Finance, review and ensure accuracy of CRT agency invoices and raise purchase orders for CRT payments.
  • Complete and keep accurate records of staff absences, school business, staff personal leave, extras, CRT's and their payment, informing and advising the Business Manager/HR Manager of these matters.
  • Monitor, plan for, and work within the allocated CRT Budget.
  • Liaise with the Principal Class team regarding rationalisation in relation to demands on timetable and covering classes for illness, PD, excursions, sport and other College activities, in a fair and equitable manner, while recognising qualifications and skills with particular class needs.
  • Ensure CRT and casual nonteaching staff are fully inducted and understand the required College policy and procedures.
  • Liaise with the staff in charge of excursions where required.
  • Ensure all staff are aware of the process for notification of staff absence, and their responsibility, where applicable, to leaving appropriate lesson plans and materials for their classes.
  • Perform other daytoday operations as requested by the Principal.

Timetabling

  • Utilise the Edval timetable package to build and maintain the timetable each semester under the direction of the Principal Class Team.
  • Follow the timeline for timetable preparation each semester, ensuring teachers have a copy of their final allotments.
  • Publish and disseminate the timetable each semester as changes are made and ensure that all changes are communicated to relevant affected parties.
  • Liase with the Principal Class Team to allocate rooms based on cohort and individual student needs.
  • Advise the Principal class team where there needs to be adjustment to allotments.
  • Prepare and publish supervision rosters (eg. Yard duty, wet weather duty) based on student supervision requirements provided by the Principal Class Team.

Responsibilities:

  • Manage the work practices and priorities of support staff in a school/s.
  • Manage the maintenance of confidentiality in respect to all school records and communication systems.
