We currently have an excellent opportunity for an Operations Team Assistant to join our team on a key client account for the next 6 months with a possibility to be extended or permanent.

You will be responsible for providing outstanding customer service and administrative support to our portfolio nationally.

The Opportunity:

  • Provide full administrative support and assistance to the Director, Portfolio Operations Manager and the wider team as required
  • Prepare and format reports/meeting agendas, meeting minutes and prepare for final distribution
  • Prepare monthly expense reconciliations, maintain credit card transactions across the portfolio
  • Organise meetings, client activities and functions and provide assistance with the organisation of conferences, including identifying venues, organising entertainment & travel arrangements
  • Organise travel and accommodation for the team when required and maintain accurate travel expenditure records
  • Maintain the team's calendars and ensure awareness of daily/weekly movements and provide assistance when necessary
  • Assist with onboarding and offboarding of employees
  • Liaise with internal and external clients and deal with all incoming inquiries in a timely and efficient manner to ensure the Client's expectations are met/exceeded
  • Maintain portfolio document management systems and ensure file management systems are kept up to date and filing is undertaken on a regular basis as required
  • Actively contribute to team meetings demonstrating a willingness to share ideas and information to improve operational procedures.

About You:

  • Expert level and experience of core Microsoft Packages
  • Office, Word, Excel, Outlook, PowerPoint
  • Experience in Administration within a fastpaced office environment
  • Excellent communication and customer service skills and the ability to interact with a broad range of stakeholders
  • Attention to detail to ensure accurate data entry and reporting
  • Strong organisational skills, the ability to problem solve and prioritise multiple tasks.
  • Ability to take initiatives and work with mínimal supervision.
