The Administration Officer will proactively work to ensure effective systems of work are established within the office of the COO.

As time permits, you will also support programs, and projects as directed by the COO.

It will be expected that the Administration Officer priorities commitments, follows through on issues to resolution, and facilitates the effective operations of the COO's office.

Along with the Executive Officer, the Administration Officer will contribute to drafting documents, correspondence, and presentations.

As the Administration Officer, your duties and responsibilities will include but are not limited to:

  • Assist in meeting set-up and arrangements including schedules of events, minute taking and preparation of papers and presentations, as required. Assist the COO to ensure they are prepared for events and meetings with notes, briefs, and papers as required.
  • Arranging meetings and appointments on behalf of the COO or COO Office as required and managing domestic and overseas travel arrangements.
  • Manage or contribute to administrative projects or issues as necessary, including assisting in the setup of new programs, Boards, and Steering Committees Chair by the COO, working closely with Directors and the Senior Executive Advisor.
  • Draft straightforward responses to incoming correspondence.
  • Communicate openly, effectively, and respectfully with all staff, clients, and suppliers in the interests of good business practice and collaboration.
  • 34 Years experience in a similar position.
  • Excellent interpersonal skills being able to establish and maintain positive internal and external stakeholder relationships.
  • Strong organisational skills.
  • The ability to work effectively within a team environment.
