About joining our team

ADAVB has a dedicated and enjoyable team environment characterized by accountability, respect, empowerment, and collaboration. As we undergo a phase of transition with recent changes in key roles, we now operate as a hybrid workplace. We work together in our South Yarra office on Tuesdays and Thursdays, while other days offer the flexibility of working from home or the office.

About the position

The Advocacy and Finance Administrative Officer plays a crucial role in supporting the smooth functioning of our Advocacy and Health Promotion team, as well as our Finance Manager.

This part-time role requires 3 days of work per week.

Key Responsibilities

Committees Meetings

  • Support specific ADAVB Council committees as directed by the Advocacy Lead.
  • Ensure timely publication of approved agendas and meeting papers, at least one week prior to meetings.
  • Prepare meeting minutes within five business days.
  • Track action items and ensure follow-up before deadlines.
  • Coordinate meeting logistics within budget constraints and ensure attendee satisfaction.

Victorian Oral Health Alliance

  • Assist in scheduling meetings for VOHA members.
  • Manage practical arrangements for meetings.
  • Compile follow-up tasks from external VOHA meetings.
  • Send follow-up communications to external parties post-content approval.
  • Create and monitor action plans.

Advocacy and Health Promotion Support

  • Offer general administrative support to the Advocacy and Evidence team.
  • Establish and manage file systems efficiently.
  • Undertake mini projects as requested.

Finance Administration

  • Support the Finance Manager in invoicing CRM and debtors, data entry, and MYOB invoicing as needed.
  • Oversee credit card receipt follow-up for reconciliation.
  • Prepare basic reports and handle ad hoc tasks.
