The opportunity:
We are seeking a Facilities Assistant for our busy Sydney CBD based office in Barangaroo.

This person will work closely with Facilities Manager to provide vital support to the business ensuring the office runs smoothly.

Key duties involve assisting in the day to day facilities operations, and helping to maintain a welcoming, clean, secure and safe working environment for internal staff and our visitors.

Additionally, day to day could you see being involved in the following:

  • Office and Building Management Responsibilities
  • Use of Envoy visitor management system, greet visitors to Level 3 front office.
  • Prepare lockers and welcome packs for all new joiners.
  • Report and organise building maintenance for Level
  • Use of Mobiledock IT1 Loading Dock Booking system
  • Maintain compliance calendar including, lighting, first aid box, tag and testing audits and office safety checks.
  • Keep Monthly Incident Register and report hazards or any noncompliance to Facilities Manager.

Data Entry:

  • Maintain Tower One Access Card spreadsheet for all staff and visitors working very closely with building management.
  • Maintain WHS New Staff Induction Tour spreadsheet
  • Maintain archiving spreadsheet for all offsite storage.
  • Maintain monthly WHS Facilities office maintenance checklist
  • Daily checking of thirdparty cleaning rosters for kitchens and bathroom refreshes.
  • Alongside the Facilities Manager you will attend monthly tenant meetings with IT1 Building Management.
  • Perform other duties as necessary.

Administration Duties:

  • Manage incoming calls, redirecting as necessary.
  • Assist in the ordering of catering for internal and external meetings/events.
  • Meeting Rooms maintain high standard of cleanliness, tidiness & room preparedness throughout the day in all meeting rooms kitchens and shared spaces
  • Assist with set up and break down of meeting rooms when required.
  • Restock two printers & change ink cartridges when required.
  • Responsible for all business related outgoing and incoming mail and deliveries.
  • Alongside the Facilities Manager assist in managing budget of facilities expenses, office, cleaning supplies, kitchen related supplies including alcohol etc.
  • When possible assist with ad hoc admin duties such as scanning, printing, binding, or event related tasks.
  • Provide backup cover to the Facilities Manager when required from time to time.

We're interested in hearing from people who have

  • Strong communication skills, both written and oral.
  • Envoy, Jira or Coupa software experience.
  • Experience in a professional corporate environment is desired
  • Zoom Video Conferencing knowledge.
