Job Description:


The Facilities Assistant will be the face of Aon's day to day operations and plays a pivotal role in the office (5 days per week) in supporting all Aon colleagues as part of the broader facilities team.

You will be responsible for ensuring all office operations run smoothly across the resource centre and provide excellent service to all Aon colleagues - no matter how big or small the task.

The team is responsible for operational needs of the business including premises, logistics, security, resources and general enquiries.

To succeed in the role, you will be an approachable multitasker who understands the essence of hospitality when providing excellent service to others.

This role will support Aon colleagues based in our Sydney CBD and Parramatta offices, as well as supporting our regional branches.

What the day will look like

  • Provide face to face service/support to our clients (Aon colleagues)
  • Process daily incoming and outgoing mail, including daily delivery and collection of mail on each floor, scanning and sorting mail
  • Help maintain the resource centre office & storeroom to keep organised, clean and tidy
  • Maintain stock list of all pantry & stationery items, as well as ensuring the kitchen and stationary trolley are stocked
  • Stationery Orders
  • Arrange couriers and sort deliveries
  • Help maintain supplier and key stakeholders (Internal & External) relationships
  • Daily floor walks & inspections
  • Assist with general adhoc and preventative maintenance request
  • Assist Resource Centre Manager with PO's/Invoicing/Journals
  • Security
  • Responsible for all facets of the building and tenancy access security
  • Maintain Locker system & audits
  • Help manage NSWOSF Inbox daily

Skills and experience that will lead to success

  • Proven experience working in hospitality, client and customer service environment, reception or business support roles
  • Strong verbal and written communication skills is a must
  • Exceptional people skills and the ability to build effective relationships with people across all levels
  • Strong attention to detail
  • Intermediate Microsoft skills, particularly in excel, word and outlook
  • Strength in working autonomously, as well as in a teambased collaborative environment
  • Tech Savy individual who can pick up new systems quickly
  • Ability to multitask and work on a broad range of diverse tasks
