The primary purpose of the Project Assistant is to provide project support to various small-scale low-level complexity University projects to ensure efficient, effective, and timely services within specified project timelines.

Involves briefing of consultants and contractors for projects and coordination of designs and documentation for infrastructure and built environment projects.

This position involves engagement and liaison with internal stakeholders, external consultants, and external contractors to clarify the scope and develop innovative built environment solutions, which achieve accurate cost control and timely delivery.


Your key responsibilities will include:

  • Clarify stakeholder and team expectations and respond promptly to requests and queries to ensure needs are met to agreed processes, procedures, standards and timelines
  • Improve convenience and accessibility by providing a range of service options
  • Provide advice to staff and make appropriate referrals to other areas of the University as appropriate
  • Build productive relationships with a diverse range of existing stakeholders and actively seek to maintain positive relationships
  • Present documentation, reports and information in a clear, structured, concise and tailored way by focusing on key messages and check that messages are understood and meet audience needs
  • Take personal responsibility and show initiative to meeting goals and objectives contributing to an inclusive team environment
  • Adopt new ideas and approaches and learn from various points of view and confirm understanding
  • Recognise the importance of teamwork and of effective communication amongst team members and build rapport within immediate team in ways that are respectful and inclusive of others

To be successful, you'll have:

  • Completion of a Degree without subsequent relevant work experience; or
  • Completion of an Associate Diploma and at least two years subsequent relevant work experience; or
  • An equivalent combination of relevant experience and/or education/training in building, construction, architecture, project management
  • Experience in project planning and support of low complexity projects, project reporting, administration and related activities in a large organisation with complex administrative structures, policies, and procedures
  • Experience in operating in a highpressure diverse environment, involving face to face, phone, and written issue
  • Experience in procuring and appointing a range of selected construction industry consultants and contractors
  • Exposure to commonly used construction contracts and accepted administration practices *desirable
  • Exposure of building industry including BCA, DDA and occupational health and safety guidelines in respect to construction practices *desirable.
