About the team


The Office of the Secretary supports the Secretary to drive focus on the things that matter most across the Cluster, government and key stakeholders for our customers, our people and the greater good.


The Business Services team is responsible for providing high level business support services and processes to deliver an efficient executive function and ensure the smooth operation of the Division.


The opportunity


We have an exciting opportunity for a Business Coordinator to join the Business Services team within the Office of the Secretary for a
12-month fixed term role whilst the incumbent is on maternity leave.


We are looking for an all-rounder and someone who is able to quickly step-in where needed most to support the day-to-day business of the Division.

This dedicated, professional Business Coordinator must have experience providing high level administrative services support.

This role will work closely alongside the other Business Coordinators and provide support across the Division during surge periods.

Working collaboratively, balancing priorities and coordinating information to support the efficient and on-time delivery of work outcomes is key to this role.

This role will also involve acting as an alternate for Departmental Liaison Officers in Minister's Office when required.


This is an exciting opportunity to join the team, expand your networks and have a bird's eye view of a range of projects, services and activities being undertaken across the Transport Cluster.


You will be involved in:

  • Assist in coordinating business management processes for the branch, ensuring alignment with corporate strategies and initiatives.
  • Draft strategies and plans for approval by the branch to be translated into meaningful performance targets and provide assurance and regular reporting for senior management.
  • Provide or source advice, technical expertise and operational support for the unit and the branch's main functions on a wide variety of business matters, including all HR, finance and procurement submissions
  • Process correspondence, briefing notes and reports relating to specific projects, initiatives and issues, ensuring that submissions are accurate, timely and have appropriate signoffs.
  • Contribute to the sound financial management for the branch.
  • Assist in the procurement process within the branch, ensuring compliance with policies and procedures and providing strategic advice and assurance on all procurement submissions.
  • Undertake administrative functions, including office procedures, purchasing and records management and ensure compliance with corporate administrative policies and procedures.
  • Research, collate and coordinate highlevel submissions and responses, reports, advice and briefings on complex policy and operational matters to support informed
- decision making and planning.

About you
We are looking for a self-starter who is able to hit the ground running. You will be someone who thrives in a fast paced, complex environment.

You will have a sound understanding of working within complex business processes, as well as a proven track record of effectively liaising with stakeholders.

Importantly, you uphold a high level of integrity and display confidentiality and discretion at all times. An understanding of the workings of government would be highly regarded.

Salary and Benefits
The salary for this position is Grade 7A ($108, E ($121,822) per annum plus superannuation and leave loading.
