We’re seeking an experienced Executive Assistant for our State Manager NSW/ACT.

This busy and interesting role at Healthscope is considered the backbone of our executive team, ensuring seamless operations and effective communication across the organization and at the heart of our operations, playing a key role in supporting our leadership team. 

We’re looking for someone special for this one, someone proactive with strong communication skills who can really own their workload,  and is no stranger to understanding what it’s like to be central to our operation.   In combination with a being able to juggle calendars, admin and a range of other admin task effectively, you’ll pride yourself on completing tasks with a smile and efficiently for you and the team.

Key Responsibilities:

·       Coordinate the State Manager's schedule, including meetings, appointments, and travel arrangements

·       Prepare meeting agendas, presentations, and other materials; take and distribute meeting minutes as needed

·       Act as a key point of contact for internal and external stakeholders, ensuring clear and effective communication

·       Handle incoming communications, including emails and phone calls, with a high level of professionalism and confidentiality

·       Assist in the preparation of reports, documentation, and presentations for both internal and external use

·       Support the planning and execution of events, conferences, and off-site meetings.

·       Maintain accurate and organized records and filing systems

·       Prepare and share approved updates about NSW/ACT State Group activities through internal and external channels such as LinkedIn or to relevant internal teams

·       Manage the operation of the Sydney Office to ensure a great experience for all users and guests, which will include but is not limited to managing and/or coordinating aspects of safety, user access, property/facilities

·       Organizational Wizard: You can juggle multiple tasks without breaking a sweat and have experience as an Executive Assistant or Senior level Administrator. Scheduling, coordinating, and managing details come naturally to you

·       Communication Guru: Whether it's crafting a polished email, coordinating with stakeholders, or taking meeting minutes, your communication skills are top-notch

·       Proactive Problem-Solver: You don't just identify problems; you solve them. You're resourceful, adaptable, and always a step ahead

·       Tech-Savvy: You have a solid grasp of Microsoft Office Suite and can quickly learn new tools to streamline workflows

·       Team Player: You thrive in a collaborative environment, building strong relationships across the organization

·       Autonomous Star:  You have great initiative and can work things out logically and solo if your leaders aren’t always around – and you build trust quickly so they leave you to it
