Parish Office Coordinator (Fixed-Term Contract for Maternity Leave)

Position Overview:

St Stephen’s Cathedral Parish is seeking a skilled and proactive Parish Office Coordinator to join our team on a fixed-term contract (maternity leave cover) for 8 months, with the potential for part-time extension until November 2025. This pivotal role involves managing the administrative and organizational aspects of the parish office to ensure smooth and professional operations.

Location: Ground Floor, Mercy House, Brisbane

Employment Type:

  • Fixed-term contract: 8 months maternity leave cover
  • Potential for part-time extension until November 2025
  • Regular Hours: 37.5 hours per week

Reports To: Rev Anthony Mellor, Dean of St Stephen’s Cathedral

Key Responsibilities:

  • Administration & Office Management:
    • Oversee day-to-day office operations, including reception duties, correspondence, and database maintenance.
    • Prepare the weekly parish newsletter, manage calendars, and liaise with stakeholders.
    • Maintain parish records, including sacramental registers and compliance requirements (e.g., Blue Card register).
  • Event Coordination & Communication:
    • Manage bookings and logistics for Masses, weddings, baptisms, and other special events.
    • Update the parish website and oversee social media platforms for parish communication.
    • Create and distribute event rosters and materials for liturgical and community events.
  • Leadership & Collaboration:
    • Supervise volunteers and office staff, ensuring efficient operations.
    • Assist parish groups and support pastoral needs, fostering a welcoming and inclusive environment.
  • Compliance & Safeguarding:
    • Ensure adherence to Workplace Health and Safety and safeguarding protocols.
    • Support the Archdiocese's commitment to protecting children, young people, and vulnerable adults.

Key Selection Criteria:

Essential Skills & Competencies:

  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite, Adobe Suite, Canva, and social media platforms.
  • Exceptional interpersonal and communication skills, both written and verbal.
  • Attention to detail, with the ability to manage competing priorities effectively.

Knowledge & Experience:

  • Demonstrated experience in office administration and event coordination.
  • Understanding of the Catholic Church, its structure, and protocols.
  • Experience managing volunteers or small teams.

Personal Attributes:

  • Empathy and compassion, especially when assisting bereaved families.
  • Professional demeanour with respect for confidentiality.
  • Ability to work independently and collaboratively in a team environment.

Requirements:

  • Current Blue Card or willingness to obtain.
  • National Police Check or willingness to obtain.
  • Alignment with the values and teachings of the Catholic Church.
