**Selection Criteria**:
1. Demonstrated ability to act with integrity and impartiality while maintaining confidentiality in all aspects of transport operations. Strong communication skills to effectively liaise with internal and external stakeholders.
2. Experience using CASES21, and Microsoft Office (Word, Excel, Outlook, Publisher). Proven ability to work within established policies and reporting frameworks to ensure DET policy and procedures compliance.
3. Demonstrated ability to work independently, flexibly and constructively in a team, ensuring the continuous and efficient operation of the work environment and working creatively and proactively to enhance work systems, practices and relationships.
4. Demonstrated high-level written and oral communication skills and high-level interpersonal skills, with an ability to relate effectively and sensitively with teaching and support staff, students, parents, external providers and the wider school community.
5. High-level organisational skills with a demonstrated ability for effective time management, establishing priorities, procedures and guidelines relating to the work area.
**Role**:
¿ Management of the Student Travel database
¿ Liaise with the bus companies
- Gold Bus, Trotters & Ballarat Coachlines including ensuring that any student changes are communicated in a timely fashion
¿ Liaise with DE Student Transport Unit re student eligibility for bus travel
¿ Ensure student transport information is up to date on CASES21 and Compass
¿ Coordinate and monitor daily Bus Duty Roster
¿ Collation and monitoring of the bus rolls to keep them up to date
¿ Coordinate staff to assist with bus arrival & departure (bus monitors), including working closely with staff to assist in the management of students
¿ Provide bus rolls to bus chaperones to mark off bus travellers each morning
¿ Mark student absences on bus rolls before departure time
¿ Provide bus staff with emergency management procedures for student who may require them
¿ Refer any bus incidents to Leading Teacher and class teacher to be managed
¿ Liaise with parents about changes in bus times, changes of address etc.
¿ Liaise with the Assistant Principal to regularly review the Transport Policy and Memorandum of Understanding with the Bus companies
¿ Organise an information session with the bus staff in February to discuss bus issues and student management issues
**Responsibilities**:
The position is a full time position and is situated in the administration section of the school at Gillies Street. The successful applicant will work in a high functioning, busy team environment and is expected to provide a very high standard of quality and respectful customer service at all times.
The nature of this role requires the successful applicant to have skills in the organising and prioritising of work flow and being able to work autonomously but also as part of a team. This requires an understanding of school culture, and highly developed communication skills.
It is an expectation that the successful applicant for the role will commit to providing a high quality, respectful, friendly, attentive and direct service to parents, carers, students, staff and other external customers of Ballarat Specialist School.
As an Education Support staff member, the range of duties may be expanded in the future in accordance with the ES Level 1, Range 3 General Duties
**Key Position Responsibilities**:
- Manage the administration of the safe transport of students to and from Ballarat Specialist School according to DE Policies and Procedures.
- Manage a complex bus timetable and effectively coordinate a large number of staff and students.
- Use of CASES21 Administration Software system to manage Student Transport.
- Use of CASES21 Finance Software system for payments to creditors.
- Use of Student Conveyance Allowance System (SCAS)
- Provision of high quality direct service to parents, carers, students, staff and other external customers of Ballarat Specialist School
- Commitment to undertake any training for the role.
