- Ensure the efficient operation of day-to-day activities and provide a high level of efficient administrative service in the areas of word processing, spread sheeting, document preparation, presentations and diary management.
- Develop and implement appropriate administrative systems and procedures, including correspondence, records management and recordkeeping. Collate and prepare monthly management reports.
- Interact with RoadTek Administration Coordinators and work as part of the wider administration pool to ensure effective communication and coordination of activities for the office of the Executive Director (OSD) and across the state-wide group.
- Coordinate and organise the preparation of itinerary and travel arrangements for staff members as required.
- Liaise with key government staff and maintain effective communication channels with stakeholders and various internal and external stakeholders.
- Arrange venues and catering for conferences, training sessions and meetings.
- Prepare and take minutes of management team meetings and provide administration support to ensure that agendas are realistic, priority issues are included, and follow-up actions arising from the meetings are delivered.
- Prepare and issue various correspondences relating to matters of procurements, requisitions, invoicing and other general items.
- Develop, implement and maintain appropriate systems and procedures, including correspondence and records management.
- Assist in research, analysis of issues and facilitate the timely preparation of briefing notes, business cases, ministerial letters and business plans.

To be successful in this role, you will need:

- Demonstrated experience in a similar role
- Excellent organisational skills and thrive working independently in a fast paced environment
- The ability to work under pressure in an environment of competing priorities and deadlines
- An exceptional ability to consult, liaise and negotiate confidently and in a clear and concise manner through the use of structured written and oral communication
- Due to this role having access to sensitive data, a criminal history check will be undertaken prior to appointment to the role.
