Our opportunity
We have an exciting opportunity for a Portfolio Administrator to join our Melbourne Team. The Portfolio Administrator is accountable for providing efficient and professional support to ensure the delivery of property related administrative tasks across The Integrated Investment Portfolio. Whilst effectively managing key stakeholder relationships in providing a consistent service offering, this role requires an individual with a high level of attention to detail whilst delivering within tight timeframes, ensuring business productivity, efficiency and governance
Your responsibilities are but not limited to;
Raising work and purchase orders for costs as directed by the property management team.
Processing of accounts payable invoices and being the key contact for supplier related queries including coordinating and facilitating new supplier set up in financial systems.
Managing the monthly sundry tenant charging process ensuring all works undertaken on behalf of tenants are accurately and completely invoiced in a prompt manner.
Assisting the asset team with the preparation and submission of accurately coded expense claims.
Accurately inputting lease related data and collation of associated documentation (achieve > 95% data accuracy in source systems).
Assisting with monthly review of Tenancy Schedules for accuracy of all lease information contained in source system and update as necessary achieving 100% accuracy of data quality.
Assisting with the performance of monthly rent up and invoicing responsibilities for the assets.
Assisting with the review of all monthly rental tax invoices for accuracy and to ensure all rental increases have been processed.
Review & Processing of adhoc customer invoices, including processing refunds and reversals of charges.
Assisting with the completion of all lease outgoings adjustments/estimates and rent reviews for the assets in accordance with lease requirements and relevant state legislation.
Production of general lease related correspondence to tenant and asset team.
Assisting with the review and management of lease-related documentation (leases, bank guarantee's, insurance certificates).
Assist with the management of daily receipting (including unallocated cash).
Drive engagement with various internal stakeholders to gather functional business requirements.
Assist with the conduct of lease audits.
Where required, proactively assist Asset Management team with the accurate completion of general administrative tasks.
Your point of difference
Relevant tertiary level qualifications, strong understanding of relevant legislations and indicative industry experience
A proactive and self-motivated approach with the ability to solve problems, improve system and procedural efficiency and effectiveness, and resolve issues as they arise
Exceptional communication (written & verbal) and interpersonal skills
Excellent organisational skills with the ability to prioritise work effectively ensuring deadlines are achieved on time and within scope
Strong interpersonal and communication skills and confidence in liaising with people at all levels
Organisational skills, a high level of attention to detail, with a demonstrated ability to achieve deadlines and prioritise effectively
