The position also assisting with serving rooms, making coffee, placing catering orders with suppliers, and assisting the Manager – Customer Floor & Catering Services.The Customer Floor & Catering Services Coordinator is a key member of the Customer floor and Catering team and the National Facilities team based in Sydney.
The National Facilities team is responsible for assisting with facilities related queries and requirements across all ASX sites, along with the management of facilities related projects.What you will be doing:Reception and Concierge servicesCoordination of all customer meeting rooms and event area booking requestsRespond to emails, messages and phone calls in a timely mannerAdvise users of meeting room availability and suitabilityGreet guests in a polite, friendly and professional mannerAssist Manager – Customer Floor & Catering Services with organising catering requests and dietary requirementsLiaise with hosts regarding room set ups ensuring rooms are ready on time for meetings, functions and eventsEnsure a high standard of presentation is maintained in meeting rooms at all timesIdentify all executive meetings and board member meetings, and appropriately mark them for coffee/drinks/snacksMonitor rooms with wait staff to ensure they are ready for each meetingLiaise with wait staff on meeting room requirementsCoordinate setting and resetting of event spaces and customer meeting rooms in a timely mannerCoordinate delivery operations and ensure efficient issue resolution if needed at the loading dockMaintain daily statistics spreadsheet on room usageFirst point of contact for all room issues, providing timely response and resolution of issuesPrepare and serve hot and cold beverages as requiredProvide coverage for Manager – Customer Floor & Catering Services when they are on leaveDevelop close working relationships with Event Managers and executive support staff to help co-ordinate booking requestsAssist with housekeeping and setting of meeting rooms throughout the dayEnsure reception area is kept clean and organisedMaintain stock and order consumables for customer floor as requiredProcess invoices and credit card transactions in a timely mannerAssist with any other facility or service-related duties when directedWhat you will bring:Must have5+ years experience in a corporate event and/or catering roleReception experience including the answering of a switchboard and managing meeting roomsPrevious experience supervising small eventsBarista experienceValid Responsible Service of AlcoholValid Food Handling CertificateSilver service experienceWorked as part of a small teamDon't mind "getting your hands dirty" attitudeDelivered a high standard of customer serviceDemonstrated common sense and initiativeUsed problem solving skillsDisplayed organisational skillsStrong attention to detailModerate knowledge of MS Office programs including OutlookAbility to work with all levels of managementKnowledge of Work Health and Safety responsibilities in a corporate catering environmentExcellent written and communications skillsAbility to work independentlyNice to have2 to 3 years previous reception experience in a 5 star hotelDemonstrated ability to work with and serve all levels of managementCurrent first aid certificateEffective interpersonal skills to effectively communicate across diverse groupsWe make hiring decisions based on your skills, capabilities and experience, and how you'll help us to live our values.
